Keep the approved sample, confirmed quantity, inspection scope, packing instructions and shipping plan in the same order record. The quotation and order confirmation govern commercial terms.
BUYER HANDOFF

02 · Order release
Document approved specification, revision, PO reference, color split, required ship date and conditions before production starts.
03 · Packing plan
Specify individual protection, inner pack, carton quantity, labels, barcode, carton marks and segregation by model or size.
04 · Dispatch plan
Confirm shipment mode, destination, Incoterm and named place, cargo-ready date, booking responsibility, insurance and consolidation.
05 · Documents & receipt
List required commercial and transport documents before dispatch. Invoice and packing list are common; certificate of origin or other documents depend on rules, buyer and route.

Courier, air or ocean
Compare urgency, shipment size, cost and destination. Consolidated cargo or split shipments depend on readiness, carrier options and quotation.
Incoterms and DDP
State Incoterms® rule, version and named place in the contract. DDP should only be offered when seller can handle import clearance, duties and taxes; confirm availability for the destination.
Payment and documents
PI, deposit/balance arrangements and document-release conditions belong in the sales contract. This overview does not set payment terms.
After-sales issue report
For damage or shortage, retain outer-carton photos, labels, packing list, received quantity and affected-item images. Share PO and report date for review.
Freight, duties, payment, documents and delivery dates are confirmed per destination and order. No logistics option is guaranteed by this overview.
